A pregnancy appointment conflicts with work. How can you ask for time?
Prepare the scheduling details, ask about pregnancy-related adjustments and clarify pay and paperwork without assuming every rule applies to every job.
Team review pending
Start with the conflict you need to solve: the appointment time, travel time and any flexibility the healthcare office has offered. Ask who handles pregnancy-related schedule changes or leave at your workplace.
You can say, “I need a change to my schedule for a pregnancy-related healthcare appointment. Who should I speak with about arranging that?”
Know which kind of request you are making
Under the Pregnant Workers Fairness Act, covered employers generally must reasonably accommodate a qualified worker's known pregnancy-related limitations unless doing so creates undue hardship. Healthcare-appointment leave can be an accommodation. [1]
You do not need special legal words to request an accommodation. [2] Explain the change you need and its pregnancy-related reason. Ask about the process instead of assuming a shift-swap request and a medical accommodation request are treated the same way.
FMLA is separate. Eligible employees of covered employers can use its unpaid, job-protected leave for prenatal care. Not every worker qualifies. [3] Ask about eligibility and other available leave rather than assuming that no FMLA means no possible adjustment.
Clarify the details before relying on an answer
Useful questions include:
- Who confirms the schedule change, and how will I hear back?
- Is the time paid, unpaid or taken from an existing leave balance?
- What documentation, if any, is required, and where should I send it?
- If the appointment changes, whom should I notify?
Keep a copy of the request and response. Use the designated private process for any required medical documentation, not a team group chat. This article does not decide what an employer may require in your case.
If the appointment cannot wait
Tell the healthcare office if work makes its recommended timing difficult. Ask about clinically appropriate options; do not delay urgent care to resolve a scheduling disagreement.
If a request is denied or you suspect discrimination, consult current EEOC or Labor Department guidance, or a qualified employment adviser. Ask promptly; an informal workplace conversation is not a substitute for understanding legal deadlines.
